THE ROLE: Accounts Payable Specialist

The Accounts Payable Specialist handles all billing for the company. Responsible for processing of incoming bills from vendors, credit card and employee expense reports and making weekly check payments. Utilizing our automated payables system, ensures that all payment obligations are properly coded, approved and paid in a timely manner.

The role involves maintaining strong relationships with our partners, both internal and external. As a key part of the finance team, works with the Controller and Accounts Receivable Collections Specialist to ensure optimal cash flow cycle, and maintain vendor permanent files.

KEY RESPONSIBILITIES

• Maintain all communications with Vendors regarding full cycle of AP processing
• 3 Way Match- Match purchase order to invoices and receiving to resolve all pricing/receiving discrepancies
• Verifying accuracy of vendor invoices by requesting department approval and confirming correct account codes are being used
• Research and resolve any discrepancies per invoices with various departments
• Generating and analyzing weekly A/P Check Run Report
• Process weekly payment run via check, ACH, wire, and credit card and enter in SAP
• Set up Vendors in SAP with completed W-9 and assist in preparing annual 1099 filing
• Reconciling Corporate Credit Card Report monthly ensuring payments are approved and in coding is correct
• Process weekly inventory transfers via our warehouses
• Maintain documentation and files accurately
• Complete closing of A/P timely and resolving discrepancies
• Collaborate with Accounting team on Inventory, Claims, and Sales tax
• Assist with projects and cross train as needed

Candidates must be passionate, organized, and love developing personal care, grooming, or skin care products. This person is highly organized and detail-oriented, with excellent communication skills. While this candidate loves timelines and getting organized, this person has a remarkable ability to remain calm and flexible in the fast-paced, changing world of product development in a high growth environment. The ideal candidate will be an intelligent team player – someone approachable with a positive, innovative and professional attitude who works smarter, not harder and takes on a “sleeves-rolled-up” and a “can-do” attitude when faced with challenges. A true ambassador for EMJ, both internally and externally.

CAPABILITIES + SKILLS REQUIRED

• Must have initiative and ownership of AP process
• Strong attention to detail
• Willing to roll up sleeves when needed

• Excellent communication skills- both written and verbal Qualifications:
• Proficient in Microsoft Excel (vlookups, sumif, pivot tables etc.)
• 2+ years in AP Experience preferred
• Education – Bachelor preferred but not required (accounting credits)
• ERP (SAP) and EDI experience is a plus
• Good sense of humor :-)
• Soft Skills - Ability to work in a fast-paced environment, ability to prioritize and adapt to changing deadlines
